Roles and responsibilities

Job Summary

You will be responsible to:

  • Purchase on behalf of the Project Manager and follow up on shipment until delivery on board to support company operations.
  • Apply company purchasing policies and procedures for effective company operation.

Duties & Responsibilities:

  • Conduct research, select and purchase quality products and materials, negotiate deals using agreed listed vendors defined by Procurement Category Manager‘s team.
  • Acknowledge vessel purchase request (PR) and proceed to purchase order (PO) dispatch to vendors based on priority and need by date and with strong logistics constraints optimization.
  • Review purchasing agreements with vendors and maintain open lines of communications and strong working relationships with vendors.
  • Compare product deliveries with issued purchase orders and contact vendors when there are discrepancies.
  • Be responsible for supplying service and material inventory under vessel purchase request (PR).
  • Conduct regular price comparisons to ensure that the company is always getting the best price for each product.
  • Responsible to identify suppliers, research goods and services, process purchase orders, expedite the PO and verify delivered items.
  • Purchase materials and services anywhere in the world keeping into consideration logistics constraints.
  • Ensure client satisfaction and manage cargo expediting following purchase to delivery.
  • Secure full compliance and operation Excellence in the process of procurement activities.
  • In charge to expedite PO to secure lead-time delivery, in relation with Transport and Logistics Control tower services.      
  • Communicate with operations team and finance team for goods where prepayment required for further management, to collect proforma invoices and provide all needs to finance team for prepayment process.
  • Communicate with local entities for all international shipments until delivered on board and report to operations team.
  • Ensure cargo delivery on board after arrival in country by local entity without delay.
  • Expedite and monitor effectiveness of PO readiness, place of release with full requested shipping documentations.
  • Update vendors about payment completion to sustain delivery availability and submit to trade terms.
  • Ensure all incidents/delays/non-compliance are recorded, reported and investigated.
  • Take on full responsibility for the order since PR received from vessel and up to cargo delivery on board.
  • Ensure planning efficiency by recording reliable data and use available digital tool giving full visibility of PO status.
  • Ensure cargo readiness for smooth coordination with transport and logistics control tower.
  • Perform any cognate duties as assigned by the Management.

The Purchasing Officer reports hierarchically to the Technical Director and functionally to the Project Manager.

Qualifications, Skills and Experiences

  • Hold as minimum a Diploma in the field linked to Sourcing, Supply Chain and/ or Logistics;
  • A minimum of 3 years of relevant experience in similar position and have a strong international exposure in purchasing and logistics areas;
  • Proficient in Supply Relationship Management (SRM)and PO management software programs such as Oracle and/or SAP knowledge;
  • Have excellent communication and customer-service skills;
  • Have a keen eye for detail and accuracy;
  • Results orientated with the ability to plan and deliver against project deadlines;
  • Strong communication, interpersonal and influencing skills;
  • Sound knowledge of MS Office tools (Excel, Word, Powerpoint); and
  • A perfect command of English is mandatory.
