Roles and responsibilities
• Maintain and update the SMS, including manuals, procedures, forms, checklists and associated documentation.
• Ensure controlled documents are current, approved, properly distributed, and version-managed.
• Ensure vessels receive required documentation packages and acknowledge implementation on time.
• Provide assistance to the Head of Audit and SMS in organization, administration, planning and any support in the day-to-day activities.
• Contribute to audit preparation and when needed realization and follow-up.
• Prepare reports, meetings, presentations, surveys and communication.
• Coordinate amongst different departments for smooth processing of documents.
• Support training and awareness programs related to SMS updated and new procedures.
• Provide guidance to vessel crews and office staff on SMS use, document access and compliance expectations.
• Participate in safety meetings, management reviews and improvement initiatives.
• Collect feedback from vessels and relevant departments to improve the SMS structure and usability.
Qualifications, Skills and Experiences
-Minimum Higher School Certificate or diploma in Quality Management or alternate equivalent qualification.
-At least 2 years of experience in Marine industry, preferably with exposure to document digital databases or electronic document-control systems.
-You are proactive, dynamic and versatile; and you have good listening and communication skills;
-You are extremely organized and rigorous with a professional approach at all times;
-You are able to work on multiple projects at the same time, prioritize matters and meet deadlines;
-You must be willing to work independently and be comfortable working in a multi-cultural environment;
-You have an excellent knowledge of MS Office/ Excel skills;
-A good command of French and English is a plus.
